Employee Self-Service
ArlenGroup’s web-based administration system incorporates employee self-service functionality that streamlines the enrollment and change process and moves employers toward a paperless benefit administration environment and
provides the following services:
- An employee self-service module, empowering employees to select their benefit options online from the workplace, home or wherever they have Internet access.
- A robust benefit administration platform that electronically interfaces with most health insurance carriers, fully automating that enrollment and change process.
- An integrated billing function, automating the calculation of retroactive premium adjustments.
- A robust reporting functionality.
In addition to providing employers with access to the online administration system, ArlenGroup provides:
- Complete system implementation, by setting up detailed benefit plans and importing all employee and plan data.
- A system audit of eligibility data to ensure the set up is complete and tests the plan rules in the system.
- Initial and ongoing training to employer’s benefit and HR staff.
Enrollment Processing and Eligibility Maintenance
As an ArlenGroup outsourcing client, an employer will work with a dedicated ArlenGroup benefit professional to administer their account. We understand plan rules and can accurately maintain employee benefit records. The company’s assigned ArlenGroup Personal Benefit Representative (PBR) will be responsible for approving all benefit transactions before they are processed with the insurance carriers.
Our full enrollment processing and eligibility management services permit HR to off-load initial and open enrollment processing, as well as mid-year status changes.
Premium Billing and Account Reconciliation
ArlenGroup monitors all new or pending eligibility and we validate these adjustments each month with the vendors. Our account reconciliation protects employers against coverage liability by verifying all members are properly enrolled in appropriate plans. With our accurate premium management, employers can be confident they will not overpay invoices due to inaccurate enrollment data or premium charges.
We make the billing process simple. Each month ArlenGroup provides employers with a consolidated billing statement that details all benefit expenditures on a single premium invoice. Employers can issue one payment to ArlenGroup for distribution to each vendor.
Call Center / Employee Advocacy
Employees will always have questions. And managing employee day-to-day needs associated with benefit plans take a significant amount of time. Transitioning this function to our benefit experts allows employers to free up HR staff’s time and resources.
ArlenGroup provides employees with an advocate to help them understand complex benefit matters.
- To replicate the personal touch that employees enjoy through internal benefit management, ArlenGroup assigns one or more Personal Benefit Representatives (PBR) to your account.
- PBRs are experienced benefit professionals committed solely to facilitating efficient benefit plan administration and plan participant support.
- Each PBR works with a limited number of employers, permitting them to develop a rapport with individual employees.
Employee Communication Services /
Benefits Extranet Site
Ineffective communication with employees and their dependents leads to more frequent benefit-related problems and reduced employee appreciation of benefit offerings. In addition to traditional paper-based benefits information, ArlenGroup provides employers with a complementary extranet web site, enabling employees and dependents to:
- Learn more about their benefit options online
- Download forms required for claims and enrollment-related matters
- View plan details and plan comparisons
- Access links to provider web sites, life event information and plan documentation
- Print Benefit Election Summaries (through Employee Self-Service)
Additionally, ArlenGroup can develop and deliver online total compensation statements designed to enhance employee appreciation of the value of their employer's benefit offerings.
Post Employment Services
Post Employment Services off-load administrative responsibilities associated with former employees. ArlenGroup services include:
- COBRA notification and premium collection
- HIPAA certificate issuance
- Insurance conversion notification
- Retiree plan administration
Open Enrollment Processing and Fulfillment Services
Open Enrollment can be a very complicated time of year for employers and employees. To help simplify this process, we can take employers through the entire benefits cycle:
- Present all benefits information to employees
- Mail out complete enrollment kits to all active and COBRA members
- Assist participants in enrolling online or completing necessary enrollment forms
- Process all benefit elections with the carriers and ensure payroll deductions are accurate for the new plan year.
